From a sample request to a defined approval
A sample request starts a product review. It is not confirmation that a particular model is available, that a custom design has been approved, or that samples and delivery are free. Agree the selected configuration, commercial terms and evaluation conditions before dispatch.
1. Identify the cable or adapter
For an existing item, include the model code or product URL, connector ends and exact length. For a custom route, describe the connected equipment, intended function and any fixed pinout or mechanical limits. Add the proposed sample quantity, expected order quantity and destination country. If a parameter is unknown, identify it as an open question rather than guessing.
2. Confirm the sample terms
Ask which configuration can be offered and whether it is an existing item, a modified assembly or a new development. Confirm any sample charge, tooling requirement and freight arrangement in the quotation. Timing depends on the selected route and the information still to be resolved. The request form does not guarantee free supply, a fixed dispatch date or a universal sample lead time.
3. Define what the sample must demonstrate
For video, identify the source, display, intermediate devices and complete operating mode. For USB, distinguish data, power and video requirements. Record the actual cable length, installation conditions and required documents. Agree acceptance criteria before comparing samples. A connector photograph or a working demonstration in another configuration does not establish that your system requirement has been met.
4. Keep an approval record
Record the model, drawing revision where applicable, selected construction, length, labels, packaging and observed results. Note unresolved questions and any changes requested after evaluation. Approval of a sample does not automatically approve different lengths or modified components. Use the agreed record when discussing the next quotation or production step, and review changes before treating an alternative as equivalent.
