OEM Cable Assembly RFQ & Supplier Evaluation Checklist

A useful RFQ tells the supplier what the assembly must connect, carry, withstand and prove. It also separates fixed requirements from decisions that still need engineering review.

A quote-ready RFQ needs seven decision groups.

Define the application, connector route, electrical requirements, cable construction, mechanical and environmental constraints, validation evidence and commercial scope. A drawing, pinout, BOM or sample can start the process, but any missing decision should be listed rather than silently assumed.

Scope and limit

This framework prepares a sourcing brief; it is not a finished engineering drawing or product approval. Final materials, tolerances, tooling, tests, standards and acceptance criteria must be confirmed for the actual assembly and end use.

What can be used to start a custom cable review?

Drawing or pinout

Best when electrical and mechanical details already exist.

Include revision, units, connector part numbers, pin map, dimensions, tolerances and any controlled notes.

Reference sample

Useful when the existing assembly is the physical baseline.

State which details must be copied, which may change and whether destructive analysis is permitted.

Application brief

Suitable when the supplier must help define the construction.

Describe devices, signal or power, environment, installation, quantity, target market and approval process.

A photo is supporting evidence, not a complete specification.

Scale, internal pinout, conductor, shielding, materials and acceptance limits cannot be reliably inferred from appearance alone.

Seven sections of a comparable cable RFQ

1. Application and mating devicesWhat the cable connects, the equipment model or connector interface, operating scenario and failure consequence.
2. Connector and pinoutConnector manufacturer / part number where fixed, gender, keying, orientation, shell, contacts and pin-to-pin map.
3. Electrical performanceSignal, data rate, voltage, current, impedance, shielding and any continuity, resistance or functional test requirement.
4. Cable constructionConductor, AWG, pair or core count, shielding, drain wire, insulation, jacket, OD, flexibility and color.
5. Mechanical and environmentFinished length, branch dimensions, bend, pull, flex cycle, temperature, moisture, abrasion, chemical or installation constraints.
6. Identification and evidenceDrawing revision, label, logo, barcode, traceability, inspection record, report, certificate or sample approval.
7. Commercial and delivery scopePrototype and production quantity, forecast, packaging, destination, Incoterm, schedule, tooling ownership and quotation validity.

OEM cable assembly supplier evaluation checklist

Evaluate suppliers against the same controlled RFQ instead of comparing price alone. Record each answer as confirmed, proposed, deviated or still open, and require the quotation to identify which exact model, material and evidence scope it covers.

Requirement interpretationDoes the supplier return a revision-controlled summary of connector, pinout, cable construction, dimensions, environment and unresolved questions?
Model-level evidenceAre test reports, declarations and certificates matched to the quoted product, material, company, destination and validity period rather than supplied as generic files?
Sample and change controlAre sample approval, golden-sample retention, substitutions, drawing revisions and buyer reapproval responsibilities defined before production?
Inspection and traceabilityDoes the proposed control plan identify incoming checks, process controls, final inspection, record format, lot identity and release responsibility?
Quotation transparencyAre tooling, MOQ, lead time, packaging, Incoterm, validity, exclusions and deviations separated so competing quotations remain comparable?
Communication fitCan the supplier close technical questions with named documents and revisions, rather than relying on unrecorded assumptions or marketing claims?
A high score is not product approval.

The checklist helps buyers compare sourcing readiness. Final approval still depends on the actual sample, agreed specification, applicable evidence and production controls.

Separate fixed requirements from supplier proposals

Mark every RFQ item as one of three states: fixed by the buyer, proposed by the supplier or open for joint review. This prevents a quotation from appearing comparable when suppliers have selected different connectors, materials, tests or packaging assumptions.

  • Use revision-controlled files for drawings and pinouts.
  • Identify approved alternates and prohibited substitutions.
  • List deviations in the quotation instead of accepting silent changes.
  • Freeze sample, label and packaging approval before batch production.

Acceptance criteria and inspection planning

When a project uses IPC/WHMA-A-620 or another workmanship standard, specify the applicable revision, product class and any project-specific requirements. IPC notes that A-620 can support purchasing, but it does not by itself define the frequency of in-process or final inspection. The buyer and supplier still need an agreed inspection plan.

Incoming and material checksApproved connector, wire, cable, component, color and document references.
In-process controlsCrimp, solder, overmold, shield termination, branch dimensions and process checkpoints where relevant.
Electrical / functional testContinuity, short, resistance, hipot, signal or application-specific test with limits and sampling basis.
